Top To Bottom Construction, Inc. is seeking a proactive and detail-oriented Scheduling Coordinator to join our Production Department. This role plays a pivotal part in maintaining our commitment to delivering quality construction projects while ensuring exceptional customer service. Responsibilities:

• Verify and ensure accurate material selections are ordered and sent to the correct suppliers.
• Outline and plan the production schedule on a weekly basis, coordinating material deliveries and multi-phase construction processes.
• Update and duplicate Project Manager (PM) work orders as necessary, ensuring timely distribution to subcontractors and confirming schedules are confirmed and optimized.
• Collaborate closely with the Lead Project Manager to prepare and dispatch repair order tickets and address warranty claims promptly.
• Follow up on special orders and ensure their timely processing.
• Close out jobs within the production department, maintaining comprehensive records.
• Schedule and coordinate municipal inspections as required.
• Manage rescheduling of jobs in collaboration with project managers, ensuring minimal disruption and maximum efficiency.
• Respond to incoming emails or texts with a sene of urgency.

Skill Requirements:

• Proficiency in typing with a speed of 50+ words per minute.
• Working knowledge of Roofing, Siding, Gutters, and Windows
• Experience with Microsoft Office suite, Google Maps, and Gmail.
• Familiarity with CRM software for managing schedules and customer interactions.

Additional Responsibilities:

• Finalize Work Orders for each job, providing clear instructions to PMs regarding material pickups and homeowner concerns.
• Create and distribute work orders for subcontractors, ensuring all punch list items are included and schedules are communicated clearly.
• Monitor the Confirmation Pending board daily, confirming schedules if not completed by sales reps.
• Assist in rescheduling jobs based on sales team or project manager notifications, coordinating with the Lead PM for weather-related adjustments.
• Source materials as needed to support PMs and Field Supervisors, including sourcing items outside of the normal catalog when required.
• Handle customer service calls related to production matters, ensuring excellent service and resolution of issues.
• Collaborate with the project management team to address punch lists and warranty work orders promptly.
• Review subcontractor invoices for accuracy, making necessary edits for accounting purposes and discussing billing discrepancies with the Lead PM.

Qualifications:

• Minimum of 3 years of experience in project scheduling or dispatch.
• General knowledge of roofing, siding, windows, and doors - Specifically the order in which exterior remodels take place
• Strong attention to detail and organizational skills are essential.
• Ability to work a flexible schedule which may include an occassional 12-hour shift, Monday to Friday, with occasional weekends, as needed.
• Excellent communication skills, both verbal and written, with a proactive approach to problem-solving.

Compensation and Benefits:

• This is a full-time salaried position with annual performance-based bonuses.
• Competitive salary range of $48,000 - $55,000 per year, commensurate with experience.

Work Environment:

• In-person work required, combining office-based responsibilities with field-related tasks as needed.
