Work Hours: Monday - Friday, 8:00 AM - 5:00 PM

Expected Starting Hourly Range: $23.67 - $29.59
Provides administrative support to the Administrative Support Manager and the County Administrator. Ensures efficient and smooth day-to-day operation of the County Administration office. Position involves considerable contact of a responsible nature with government officials, representatives of other departments, and the general public, often involving sensitive or confidential information.


*NOTE: This position has been designated by the Manatee County Commission as serving at the will and pleasure of the County Administrator. Employees so designated may be terminated at any time with or without cause.

Working Conditions
Typical indoor office environment. Sitting for long periods of time, working on computer. Lifting equipment or supplies up to 25 pounds alone and up to 50 pounds with assistance. Position requires visual acuity and depth perception, as well as ability to hear and identify sounds. Occasional high stress situations. Occasionally required to work other than normal business hours.

Job Description
Essential Functions

Greets and directs visitors to County Administration and the Commissioners' offices. Acts as first point of contact for visitors on the Administrator's and Commissioners' behalf. Answers, screens, and directs Administration phone calls.

Provides assistance with scheduling appointments and meetings for the County Administrator and assists with calendar maintenance. Attends meetings to take minutes and document follow up actions, as requested.


Responsible for constituent services for the County Administrator. Responds to requests via email, phone, and in person. Responds to routine 311 informational requests on the County Administrator's behalf. Appropriately escalates requests to other county staff, as needed.


Assists with travel arrangements, reconciles travel expenses, and prepares travel reimbursement vouchers in accordance with County procedures.


Prepares correspondence, reports, letters, and agendas for the County Administrator, responds to correspondence received, as appropriate.


Maintains files and records for the County Administrator's office, including some that may be sensitive and/or confidential. Ensures all records retention requirements are met.


Assists with the maintenance of the department's inventory of office supplies and related items. Orders office supplies as needed and authorized.


Assists with Information Technology and Property Management departments and vendors regarding office equipment, computer equipment furniture, supplies, etc. Submits work orders and follows up as necessary.


Coordinates the county vehicle assigned to the BOCC and County Administrator's office and acts as liaison with Public Works Fleet Division. Ensures proper assignment of vehicles to staff and ensure vehicle maintenance schedules are kept.


Assists the County Administrator, Deputies, and visitors to the BCC Conference room with computers and other technology in the office.


Serves as an approver for conference rooms, controlled by County Administration/BOCC.


Serves as the PC Card Proxy Reconciler for the BCC and County Administrator's Office. Ensures all credit card charges are submitted accurately and on time to the Financial Management Department.


Attends job-specific training classes as assigned by supervisor.


Performs other related work (including weather or other extreme emergency duties) as required.

Minimum Qualifications


Associates degree with course work in business education, business administration, or public administration.


Four (4) or more years of experience supporting C-Suite Executives or Legal Counsel required.


A comparable combination of education, training, and work experience which provides the requisite knowledge, skills, and abilities for this position may be substituted for the minimum qualifications.
County Administration
Provide administrative support for Deputy County Administrator and internal support team for planning and implementation of the American Rescue Plan Act Coronavirus State & Local Recovery Fund. Responsible for handling day-to-day operations to ensure compliance with federal guidelines. This includes scheduling meetings with internal departments, elected officials and other community stakeholders; recordkeeping; written correspondence and other administrative functions.

Good knowledge and understanding of general office procedures.


Good knowledge and understanding of regulatory compliance necessary to successfully perform job responsibilities, including Florida Sunshine laws and records retention requirements.


Good knowledge and understanding of computer systems and software applications required to perform job duties.


Good verbal and written communication skills and interpersonal skills in order to interact professionally and effectively with staff, elected officials, the general public, and other stakeholders. Able to communicate information that requires explanation or interpretation.


Able to maintain a high degree of confidentiality.


Capable of working under moderate supervision.
