Bilingual Office manager, personal assistant

 

  • Executive Management:
    • Managing calendars, scheduling meetings, appointments.
    • Prioritizing tasks and effectively managing urgent requests.
    • Preparing and distributing meeting agendas, minutes, and presentations.
    • Anticipating needs and proactively addressing issues.
    • Handling confidential information with utmost discretion.

  • Office Operations:
    • Overseeing office administrative functions including mail distribution, filing systems, and supply management.
    • Coordinating office services like IT support, cleaning, and catering.
    • Maintaining office budget and tracking expenses. As well as keeping supplies up-to-date.
    • Managing office layout and ensuring a professional work environment.

  • Communication Management:
    • Acting as the first point of contact for phone calls, emails, and visitors, screening and directing inquiries as needed.
    • Drafting professional correspondence and communications on behalf of me.
    • Managing complex email chains and ensuring timely responses.

  • Personal Support:
    • Arranging personal errands and appointments as required.
    • Managing travel arrangements including booking flights, accommodations, and ground transportation.
    • Coordinating personal events and special requests

Required Skills and Qualifications:

  • Excellent organizational and time management skills
  • Strong communication and interpersonal skills, both written and verbal
  • Proficiency in Microsoft Office Suite and Quickbooks
  • Discretion and ability to handle confidential information
  • Detail-oriented with a high level of accuracy
  • Ability to multitask and prioritize effectively
