Job Description: Personal Assistant to the ABA Director

Position Title: Personal Assistant to the Director
Reports To: Director
Location: Remote/Eagle ID (Required to Reside in Idaho near Ada County and or California near Orange County
Employment Type: Part-Time to start

Position Summary

The Personal Assistant will provide high-level administrative and organizational support to the Director of an Applied Behavior Analysis (ABA) company. No prior experience needed— we will provide full training if needed. The role will start at 12 per hour for those with no experience and go up from there. Once you meet your evaluation with 90% or higher, you can request a raise at that time. This role requires exceptional communication, discretion, and multitasking skills to ensure the Director can focus on strategic leadership and company growth. The Personal Assistant will manage daily operations, coordinate schedules, handle confidential information, and support the Director in overseeing company initiatives that serve patients, families, and staff.

Key Responsibilities

Administrative Support

  • Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.

  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Director.

  • Prepare documents, reports, presentations, and meeting materials.

  • Maintain organized filing systems (digital and paper-based).

Operational Support

  • Assist in coordinating staff meetings, trainings, and company events.

  • Track deadlines, deliverables, and follow-ups on company projects.

  • Support HR and clinical staff with onboarding, scheduling, and compliance documentation.

  • Liaise with insurance companies, schools, and external stakeholders as directed.

Confidentiality & Communication

  • Handle sensitive and confidential information with the highest level of integrity.

  • Act as a point of contact between the Director, staff, families, and external partners.

  • Draft professional communications, emails, and letters on behalf of the Director.

Project & Business Support

  • Assist in monitoring ABA program compliance and quality assurance processes.

  • Help coordinate data collection, reporting, and auditing tasks as needed.

  • Research and compile information to support strategic initiatives and decision-making.

  • Ensure company policies and procedures are followed in all administrative processes.

Qualifications

Required

  • Strong organizational and time management skills with attention to detail.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling software.

  • Ability to multitask and prioritize in a fast-paced environment.

  • High degree of professionalism, discretion, and confidentiality.

Preferred

  • Experience in the healthcare, education, or ABA field.

  • Knowledge of ABA terminology, services, and compliance requirements.

  • Familiarity with insurance processes and clinical documentation.
